we have a coffee/tea/milo dispenser, just press a button, the paper cup drops out and coffee/tea/milo will be dispensed! For those who want 'customised' coffee/tea/milo, they do it themselves!

I am not sure why in Doha you need someone to do this or that. And in IBM, or at least when I used to to work there, there are no office assistants, executives are expected to do their own filing, scanning, etc. They may ask the department secretary but she's not obliged to help out.

Mail? The receptionist simply slot into the pigeon hole for each department/section. The secretaries for each department or even employees themselves go the pigeon to check for the mail!
