I'm not sure why it is three weeks prior to travel but this is what the officer at the counter outside told me. A possibility is that they accept only limited number of applications per day. But if your situation requires that you apply way in advance, you can explain it to them while requesting the appointment date.
You first need to visit the Italian Embassy (between 8:30 AM and 9:30 AM) on a weekday and take an appointment for the Schengen Visa Interview. Normally, the Officer will allot you an appointment three (3) weeks prior to your date of travel.
On the day of interview, please carry the following documents to the Embassy:
- Original Passport (with validity not less than 6 months)
- Passport Copy (of the pages having your name, address and Work Permit)
- Two passport size photograph with a light blue or dark grey background
- Letter from your sponsor/company: The letter should mention your name, designation, salary, starting date of employment, duration and purpose of visit. It should also mention that you will return back to Qatar and rejoin work from which date onwards.
- Confirmed Air Ticket
- Confirmed Hotel Accommodation for the duration of stay
- Travel Insurance for the duration of stay. You can get it done online through the AXA website (Coverage Amount 30000 Euros)
- Six (6) months bank statement showing sufficient funds to cover
- Visa Fee (payable in cash) to the Visa Officer: QAR 286
The schengen visa application form is available for download from the embassy website but they will ask you to fill another application at the counter. So have a pen and other necessary documents at hand.
The visa officer will ask you a few questions and assess your application. If you qualify for the visa, pay the visa fee at the counter. The officer will give you a receipt mentioning the date of collection. You must produce this receipt at the time of collection. Check the visa page if all details are correct. If not, notify the officer at the collection counter.
