We are hiring Operations Executive for our Event management team who is having 3+ years of experience in hosting and setting up Events. The duties and responsibilities are
- Follow up on the concepts and proposals approved by clients and put them into reality.
- Source for materials and act as a negotiator to obtain cost-effective prices from suppliers.
- Key liaison between client, event managers, in-house designers and other 3rd party vendors leading up to the event, ensuring that both client and event requirements are met.
- Apply for licenses, permits required with the relevant authorities.
- Coordinate and manage the set-up and production of the event on site, ensuring the delivery of a high-quality event.
- Plan and propose workflows for every event.
- Supervise and manage all suppliers and contractors working on location.
- Ensure a smooth operation throughout each event.
- Required to work closely with the members of the team to collectively produce a successful event.
- To handle multiple projects from entry level to mega huge events.
- Logistics management and inventory control of all equipments, materials and any other items
- To work within the operations team that manage all venue communication and associated services (cleaning, catering, security, traffic, health & safety, etc) pre and post event for the portfolio of Prospects Events
- To effectively communicate with exhibitors pre and post event
- To undertake the admin and high level of detail required in the organisation of events
- Prepare exhibitor communication in the forms of manuals, emails and forms for completion
- To be on site at events and take responsibility for the various aspects of managing the event
- To work within the budget set for individual events for organising spend
- Negotiate and produce contracts for relevant contractors and ensure good service whilst building a good working relationship
- To investigate and co-ordinate logistical arrangements required for a successful event (temp staff, accommodation, equipment, parking, transport, AV, licenses, signage & branding, floorplans etc.)
- To investigate and co-ordinate items related to enhancing the events e.g. seminars, stage, etc.
- Build a good overall knowledge and understanding of the events in the company portfolio, their operational aims and the relevant market places they operate in
- Close liaison and communication with other departments within the events team including marketing and sales
- To maintain high levels of customer service and professionalism in all areas of work
- To ensure that all Health & Safety measurements are in place
- Be responsible for all event supplies and kit, including the storage and order of the lock-up
- Being the petty cash holder onsite at events, keeping a strong record of all spend
- Keeping up constant communication with the venues from contracts and dates to all onsite logistics
- To book all travel and accommodation relating to the events and prepare a schedule for the team involved
- Any other duties that may be required from time to time
